Academic Year Plan Policy

Harmonic Academy of Music – Burlington, Ontario. This document outlines the complete terms and conditions for students enrolled in the Academic Year Plan. Enrollment confirms agreement with all policies listed below.

1. Program Overview

The Academic Year Plan is designed for students seeking consistent, structured musical development. It follows the local school calendar and includes:

  • Term 1: September – December (12 weekly lessons)
  • Term 2: January – March (12 weekly lessons)​
  • Term 3: April – June (12 weekly lessons)

Total: 36 lessons per academic year. Students may enroll at any time. Tuition for partial terms is prorated based on the remaining lessons.

2. Registration

  • One-time registration fee: CA$25 per student
  • Registration fee is non-refundable
  • Registration confirms a reserved spot in the selected program.

3. Tuition & Payment Options

Tuition is payable per term or for the full academic year. Tuition covers reserved lesson time, not attendance.

Discounts for prepayment:

  • 2 terms upfront (24 lessons): 4% discount
  • Full year upfront (36 lessons): 8% discount and registration fee waived
  • Family Discount: 10% per additional family member

4. Lesson Rescheduling

  • Minimum 48 hours’ notice required for rescheduling.
  • Up to 3 rescheduled lessons per term permitted.
  • Rescheduled lessons are issued as Make-Up Credits.
  • Missed lessons beyond the allowed number are considered absences.

5. Make-Up Credit Policy

  • Credits expire at the end of the term in which they were issued.
  • Credits cannot be scheduled during the student’s regular lesson time.
  • Scheduling must be coordinated with the Admin Team.
  • Credits cannot be converted to cash or applied toward future tuition.

6. Absences

Lessons missed without proper notice or beyond the allowed reschedules are considered absences. Absences are not eligible for make-up.

7. Instructor Cancellations

If an instructor cancels a lesson, it will be rescheduled or issued as a Make-Up Credit.

8. Holidays & Breaks

Academic Year students observe: Winter Break, Spring Break, Summer Break

Academy closures on statutory holidays:

  • New Year’s Day (Jan 1)
  • Family Day (third Monday of February)
  • Good Friday
  • Easter Sunday
  • Victoria Day
  • Canada Day (if July 1 is Sunday, closure moves to Monday)
  • Labour Day
  • Thanksgiving Day
  • Christmas Day

No make-up lessons for academy closures.

9. Withdrawal & Refund Policy

  • Students who withdraw receive a 50% refund of remaining prepaid lessons.
  • Registration fees are non-refundable.
  • Refunds are issued to the original payment method within 5–7 business days.

10. Family Discount

  • 10% discount per additional family member
  • Applies to tuition only and cannot be combined with other promotions unless specified.

11. Enrollment Flexibility

Students may enroll at any time during the academic year. Tuition will be prorated for remaining lessons.

12. Agreement

By enrolling in the Academic Year Plan, the parent/guardian or adult student confirms that they have read, understood, and agreed to all policies outlined above.
